Honestly I think the best approach is to just go with what feels right for the group. We tried a few different setups last time and the one with the extra breakout space worked best for everyone. I know it was a bit of a compromise but it kept people engaged and that matters more than sticking to a rigid plan. If the weather holds we could maybe try the outdoor arrangement again but I would bring a few more chairs just in case. Let me know what you think and I can adjust the schedule accordingly. We ended up going with the later time slot because it gave everyone a chance to settle in after their morning meetings. The room we booked has decent lighting and enough outlets which is always a challenge. I think we will have a solid turnout but I want to make sure we have enough materials for anyone who drops in last minute. If you can bring that extra set of handouts it would really help. I will be there about fifteen minutes early to set up the tables and get the slides ready. The last session ran a bit long so I will try to keep this one tighter.
