Regarding your question about the team gathering next month I think Saturday the 14th would work best for most people. I checked with everyone and only two have conflicts so far which is pretty good. We could do the main room at the community center from 4pm to 8pm and they have a kitchen we can use for prep. The rental fee is reasonable and includes tables chairs and cleanup. I was thinking we could do a potluck style with everyone bringing something so it stays simple. Let me know if you want me to coordinate the sign-up sheet or if you prefer to handle that part. I also looked into the audio setup and they have a basic sound system we can use for background music. Should I go ahead and reserve the space for that date or would you rather check a couple of other options first? I want to make sure we lock something in soon since weekends tend to fill up quickly at that venue.

I looked into the scheduling question you asked about and Tuesday afternoon actually opens up nicely for us. The team confirmed they can do a 3pm check-in which gives everyone time to finish their morning tasks first. We will need about an hour and a half for the full walkthrough so plan accordingly. The materials list you sent over looks complete I think we only need to add the protective covers for the floor areas. I ordered those already so they should arrive by Monday. Let me know if you want me to rearrange the order of the spaces we visit I can adjust the route to start on the east side instead if that works better for your schedule. Also the parking situation should be fine that time of day since most offices clear out after 4 so the lot will be quieter. I will bring the printed plans and the checklist you prepared. One less thing for you to worry about on the day.
