You mentioned the shared drive was getting cluttered so I spent some time organizing it today. I sorted everything by project name first and then by date within each folder. The main folders are labeled clearly and I added a simple readme file in each one describing what belongs there. If you need access to older files they are in the archive folder at the bottom.
