I think the best approach for the meeting space layout would be to use that conference room on the third floor since it has natural light and the tables can be rearranged easily. We need to accommodate about twenty people comfortably with room for the presentation screen. Let me know if you need me to reserve it for next Tuesday afternoon rather than Wednesday morning because I know some folks have conflicting appointments. The catering order should be simple — just coffee, tea, and a selection of light pastries would be sufficient. I can coordinate with the building services team to ensure the AV equipment is tested beforehand. Also remind everyone to bring their project notes so we can finalize the quarterly timeline without needing a follow-up session. Should I send out the calendar invitation with the agenda attached, or do you prefer to circulate it separately later in the week.

AAA Premier Roadside Support • Regional Program
I looked into the volunteer schedule for the community garden cleanup and Saturday the 15th seems to work best for most people. We have about twelve confirmed so far and I think we can handle the weeding, mulching, and pruning in about three hours if we split into teams. The tool shed is fully stocked now with extra gloves and rakes that were donated last week. I will send a reminder to everyone by Thursday asking them to bring water bottles and wear sturdy shoes. Let me know if you want me to also coordinate a simple lunch afterward — maybe sandwiches and lemonade in the pavilion. Also the garden coordinator mentioned that the compost bins need turning so I can add that to the task list if you think it fits within the time frame. We should have the new seedlings ready for planting by the end of the session and the signage team can install the new labels during the cleanup.
