I can answer the question about Saturday more clearly. The early window works better because the room is quieter then, and we can finish before the hallway gets busy.
If Nina is still unsure about bringing the extra stand, tell her it would help since the back corner needs a place for name cards and pens.
I checked the cabinet, and there are still plenty of blank folders, though the labels need to be written by hand because the printer was off the network yesterday.
For the agenda, maybe move the planning portion after the welcome round so everyone has a chance to settle in first.
That usually leads to fewer interruptions.
I also think the circular table should stay near the window instead of the doorway, because people tend to leave bags in that area while coming in.
