I reviewed the available dates and think the second Tuesday of each month works best since it avoids the holiday weekends and the regular maintenance closures. The room holds about 35 people comfortably which should be enough for the group we are expecting. I checked on the AV equipment and the microphone system was recently updated so we should have better sound quality than last year. The coordinator mentioned we can set up chairs in either rows or a circle so I will plan for a U-shape arrangement to encourage discussion. For the refreshments, I will bring a coffee urn and some bottled water and maybe a few trays of pastries from the bakery on Main Street. The building has a small kitchen area with a sink and counter space so setup should be straightforward. I will arrive about 30 minutes early to unlock the doors and arrange the seating before anyone else arrives. Let me know if you think we need name tags or printed agendas for the first meeting.

Regarding the scheduling, I also wanted to confirm that the projector works with both HDMI and VGA connections so people can present from different devices. I will bring adapters just in case. The wifi password for the building is posted near the front desk and I will include it in the reminder email so everyone can connect easily. The room rate is covered by the annual budget so there is no additional charge for using the space this year.
