For the seating question, I think the smaller room makes more sense because it keeps everyone close enough to hear each other without repeating things. We can keep the larger room in mind in case the headcount changes by the afternoon.

About the snacks, simple is probably better. Fruit, crackers, and tea should cover most preferences without turning it into a full reception. If someone asks about extra plates, I already have a stack in the cabinet near the copier.

I also checked the side door you mentioned. It closes properly now, so anyone bringing materials can come through there instead of the front entrance.

I looked over the plan you sent and I think the outline is clear.
The first section reads well, though I would move the shorter note closer to the middle so it does not feel separated from the rest of the message. If you want, I can make that adjustment before lunch.

For the equipment list, I checked the storage room this morning. We have enough folding stands, but the extra extension cord is still in the secondary cabinet across the hall. I set it aside so no one has to search for it later.

You also asked whether the visitors needed printed badges or just a sign-in sheet. I would keep it to a sign-in sheet unless the group grows. That tends to be simpler and easier to manage when arrival times vary.

One more thing, the plants by the west window really need water. If you are coming by early, could you bring that small blue watering can from the kitchenette? Otherwise I can handle it before the room setup starts.
